The Exact Tech Stack I Use to Self-Manage My Gulf Coast STRs From 5 Hours Away

I live in Madison, Alabama. My short-term rentals are on the Gulf Coast... about five hours south. And I self-manage them.
The number one question I get from investors is some version of this: "Justin, how do you self-manage from that far away? Don't you need a property manager?"
Honestly? No. You need the right stack, set up in the right order, and a great local cleaner. That's it.
Today is a value share day. I'm giving you the exact launch blueprint my team uses to build out a property from zero to live, synced, priced and automated. Same tools. Same order. Same checklist. No fluff.
The 5-Piece Stack
Here's everything you actually need:
- Airbnb ... your primary booking channel
- Vrbo ... your second channel (huge for Gulf Coast families)
- Hospitable ... your channel manager and command center. Syncs calendars, messages and bookings across both platforms
- PriceLabs ... dynamic pricing so your rates move with the market while you sleep
- HostBuddy AI ... AI guest messaging that answers questions 24/7 in your voice
Plus the non-tech piece that matters most: a reliable local cleaning team. More on that below.
Optional extras once you're rolling: Rankbreeze (listing SEO and analytics) and Happy Guest. Nice to have. Not need to have.
Why the Order Matters
Most people who struggle with self-management didn't pick the wrong tools. They set them up in the wrong order and ended up with double bookings, rates that never synced, or an AI bot answering with outdated info.
Build it like a house. Foundation first, automation last.
Step 1: Gather Everything Before You Touch a Platform
Before you create a single account, get organized:
- One dedicated email for the property (or your STR business)
- A password manager or secure note with every login
- All your photos in one folder
- Your property details written out: bedrooms, bed sizes, amenities, parking, check-in method, Wi-Fi, house rules, local favorites
That last one is gold. You'll reuse it for Airbnb, Vrbo and HostBuddy. Write it once, use it everywhere.
Step 2: Build Your Airbnb Listing First
Airbnb is your foundation, so it goes first.
- Create the listing using your property details
- Upload photos in a deliberate order (hero shot first, then the view, the living area, bedrooms, amenities)
- Write a description that sells the experience, not just the square footage
Everything else gets mirrored from this listing, so make it great.
Step 3: Set Up Hospitable (Your Command Center)
Hospitable is the brain of the whole operation. This is the piece that lets you manage from anywhere.
- Create your account
- Connect your Airbnb listing
- Build your automated messages: booking confirmation, pre-arrival, check-in instructions, mid-stay check, checkout reminder, review request
- Add your smart lock or access info if you have one
Learn it free: Hospitable has a ton of tutorials on their YouTube channel. Start with their How-To playlist, then browse the full Hospitable YouTube channel. There are also a bunch of great creator walkthroughs if you just search "Hospitable tutorial" on YouTube.
Step 4: Build Your Vrbo Listing
Now mirror your Airbnb listing on Vrbo:
- Same title, description, photos and amenities
- Connect it through Hospitable so calendars stay in sync
- Double check the calendar sync. This is the step that prevents double bookings. Do not skip it.
On the Gulf Coast, Vrbo pulls a lot of family and multi-generational travelers. Leaving it off is leaving money on the table.
Step 5: Set Up PriceLabs
This is where most new hosts either leave money on the table or panic and overprice. PriceLabs fixes that.
- Create your account and connect your listing
- Set your base price and minimum price
- Set your minimum stay rules
- Turn on dynamic pricing
- Confirm the rates are actually syncing to your listing
Learn it free: PriceLabs has a beginner-friendly PriceLabs Academy with learning paths, plus free live training. Their training page runs a 45-minute basic setup session every weekday at 2:00 PM Eastern covering how rate recommendations work, base and minimum prices, dynamic minimum stays and syncing to your PMS. Can't make it live? Watch the recorded basics training. And their Help Center answers almost everything else.
My Secret Weapon: Let Claude Set Up PriceLabs With You
Here's something most people don't know yet. I used Claude in Chrome (the Claude browser extension) to help set up my PriceLabs accounts initially.
You log into PriceLabs yourself, then just tell Claude what you're trying to do in plain English. Something like:
"I have a 2 bedroom condo in Gulf Shores. I'm targeting around $X a year in gross revenue. Help me set a base price, a minimum price, and minimum stay rules that make sense for peak summer and the slower winter months. Walk me through each setting in PriceLabs and explain why."
It reads the screen, walks you through the settings, and explains the why behind each one. It's like having a revenue manager sitting next to you. You still approve everything... it just kills the overwhelm.
Tip: Know your revenue goal going in. Tell it how much you're looking to do and let it reverse engineer the settings with you.
Step 6: Add HostBuddy AI (The Final Layer)
HostBuddy goes last on purpose. It learns from your listing and your PMS, so everything else needs to be dialed in first.
- Create your account and connect it to Hospitable
- Load your property info, house rules and guidebook into its knowledge base
- Set your messaging tone so it sounds like you
- Set your coverage schedule (it only works the hours you tell it to) and how it alerts you when something needs a human
This is the piece that lets you be at dinner with your family, at work, or asleep, and guests still get fast, accurate answers.
Learn it free: Hospitable has a step-by-step guide to connecting Hospitable to HostBuddy, and Hospitable users can use code HOSPITABLE1 for 50% off their first HostBuddy month (per that article at the time of writing). HostBuddy AI also offers a 14-day free trial, so you can test it before you commit. Search "HostBuddy AI setup" on YouTube for creator walkthroughs too.
Step 7: Final QA Checklist
Before you call it done, check every box:
- ☐ Airbnb live
- ☐ Vrbo live
- ☐ Hospitable connected to both
- ☐ PriceLabs connected and pushing rates
- ☐ HostBuddy connected and scheduled
- ☐ Calendar sync verified (block a test date on one platform and confirm it shows on the other)
- ☐ Automated messages turned on
- ☐ Listing fully complete, no empty fields
Step 8: Lock In Your Cleaner and Local Team
Here's the truth nobody puts in the YouTube videos: your cleaner is the most important vendor in your entire business. Reliability beats price every single time.
The tech handles the guests. Your cleaner and your local vendors handle the property. Get those two right and remote self-management becomes very doable.
You'll also want a go-to handyman, plumber, HVAC company, pest control and an STR-friendly insurance agent before your first guest ever checks in.
Grab my vendor list. I put together my preferred Gulf Coast contacts... cleaners, handymen, HVAC, plumbers, inspectors, insurance, lenders and more. Everyone from Perdido Key to Fort Morgan:

That's Really All You Need
Airbnb. Vrbo. Hospitable. PriceLabs. HostBuddy. A great cleaner. A short list of trusted vendors.
That's the whole stack. You don't need a 20% management fee to run a beach rental from five hours away. You need a system, set up in the right order, and the confidence to own your investment.
Every tool on this list has free training. Use it. Block off a weekend, follow these steps in order, and you'll be live.
Want Help Finding the Right Property First?
The stack only works if the property works. I help investors find cash-flowing STRs in Gulf Shores, Orange Beach, Fort Morgan and Perdido Key... and I spend a lot of time teaching my clients how to self-manage once they close.
